Filter Products

The Filter Products section allows you to precisely select which products should be loaded into the Price Spreadsheet for editing.

1. Product Category

This filter allows you to load products from a specific WooCommerce category.

How it works:

  • Only products assigned to the selected category will be loaded
  • Sub-category products are included if they belong to the selected category

Example:
Select category: Electronics
Result: Only products in the Electronics category appear in the spreadsheet

2. Product Type

You can filter products based on their type.

Available options:

  • Simple Products
  • Variable Products

How it works:

  • Simple products are loaded individually
  • Variable products are loaded with their variations (if supported)

Use case:
Apply pricing rules only to simple products and exclude variations

3. Price Type

This filter helps you target products based on pricing status.

Options include:

  • All products
  • On Sale only
  • Not on Sale

How it works:

  • If you selected all products It will show all products according to other filter selected option.
  • If on sale only option is selected then it will show only the on sale products

Important:
Sale price rules do not create new sale prices. They only update existing sale prices.

Price Spreadsheet

The Price Spreadsheet is the core feature of Smart Price Manager. It provides a clean, spreadsheet-style interface that allows you to view and manage product pricing data in one place, without opening individual product edit pages.

This section is designed to make bulk price management fast, accurate, and user-friendly especially for stores with a large number of products.

Product Types Handling

Smart Price Manager intelligently handles different WooCommerce product types to ensure accurate and safe price updates.

Simple Products
  • Simple products are displayed as a single row per product
  • Each row shows the complete pricing information for that product
  • Updating the price directly affects the product itself

This makes simple product price updates fast and straightforward.

Variable Products & Variations

For variable products, Smart Price Manager follows a variation-level pricing approach:

  • Each variation is displayed as a separate row in the Price Spreadsheet
  • Variations are treated like individual products for pricing purposes
  • This allows precise control over each variation's:
    • Regular price
    • Sale price
    • Stock quantity
Why this approach?
WooCommerce stores prices at the variation level, not at the parent variable product level. To avoid incorrect or incomplete price updates, Smart Price Manager allows you to update each variation independently.
This ensures:
  • Accurate pricing for every variation
  • No accidental overrides of unrelated variations
  • Full flexibility when managing size-, color-, or attribute-based pricing

Displayed Columns

Each row in the Price Spreadsheet represents a product, and the following details are displayed:

  • Product Name
  • SKU
  • Category
  • Regular Price
  • Sale Price
  • Stock

Product Selection Controls

To make bulk operations easier, the Price Spreadsheet includes powerful selection options:

  • Select Individual Products using the checkbox next to each product
  • Select All button to select all products on the current page
  • Deselect All button to quickly clear all selections

These options are especially useful when applying bulk pricing rules or updates to a specific set of products.

Products Per Page Control

You can control how many products are displayed on a single page using the Products Per Page dropdown:

Available options typically include:

  • 50 products per page
  • 100 products per page
  • 200 products per page
  • 500 products per page

This allows you to optimize performance and visibility based on your catalog size and system capacity.

Pagination Support

For stores with large product catalogs, the Price Spreadsheet includes built-in pagination:

  • First / Previous / Next / Last navigation buttons
  • Displays the current page number (e.g., Page 1 of X)
  • Pagination works together with filters and product selection

This ensures smooth navigation across thousands of products without performance issues.

Why This Feature Matters

The Price Spreadsheet enables you to:

  • View all key pricing data in one place
  • Update prices quickly and accurately
  • Reduce manual errors caused by repetitive edits
  • Handle bulk pricing changes efficiently

This feature forms the foundation of Smart Price Manager and works seamlessly with other tools such as Bulk Edit, Smart Pricing Rules, and Import & Export.

sheet dashboard sheet dashboard

Bulk Edit Selected Products

The Bulk Edit Selected Products section allows you to update prices for multiple products at once, saving significant time compared to editing products individually. Before applying any bulk rule, you can filter and select only the products you want to modify.

This feature works seamlessly with both Simple Products and Variable Products, providing full control over individual prices.

Product Types Handling

Simple Products

Simple products are displayed in a single row, and any bulk rule applied will directly affect that product's price.

Variable Products

For variable products, each variation is displayed as a separate row in the table.

This approach allows you to update prices at the variation level, instead of applying one price to the parent product.

This is especially useful when different variations (size, color, etc.) have different prices.

Important Rules (Read Before Applying Bulk Actions)

Please note the following rules to avoid unexpected behavior:

  1. If a product's price is 0, that product will be skipped when applying any pricing rule.
  2. If a product is not on sale and you try to apply a rule to its sale price, that product will be skipped.
  3. For "Both Prices" bulk edits, only products already on sale will have their sale price updated.
  4. Always click the "Load Products" button after applying filters to ensure the correct products are loaded.

Selecting Products Before Bulk Edit

Before applying any bulk rule:

  • Select products manually using the checkboxes, or
  • Use the Filter Products feature to easily narrow down products by category, SKU, or other criteria.

This ensures that bulk rules are applied only to the intended products.

Option 1: Set Fixed Price

This option allows you to set a fixed price for selected products.

Available Price Types:

  • Regular Price
  • Sale Price

How It Works:

  • Select the price type (Regular or Sale)
  • Enter a fixed price
  • Click Apply

Example – Regular Price:
• Product regular price: ₹500
• Set price to: ₹300
• Result: All selected products will have their regular price updated to ₹300

Example – Sale Price:
• Product sale price: ₹400
• Set sale price to: ₹250
• Result: All selected products already on sale will have their sale price updated to ₹250
• Products not on sale will be skipped automatically

Option 2: Increase or Decrease Price (Advanced)

This is the most powerful bulk pricing feature, ideal for running sales or adjusting prices dynamically.

Price Scope:

  • Regular Price
  • Sale Price
  • Both Prices

Adjustment Methods:

  • Percentage (%)
  • Fixed Amount

Percentage-Based Adjustment

This option increases or decreases the price by a percentage.

Example:
• Product price: ₹20
• Percentage: 20%
• Action: Increase
• Result: New price = ₹24

If you choose Decrease, the same percentage will be subtracted instead.

Fixed Amount Adjustment

This option increases or decreases the price by a fixed value.

Example:
• Product price: ₹50
• Fixed increment: ₹10
• Action: Increase
• Result: New price = ₹60

If you choose Decrease, the price will be reduced by the same fixed amount.

Steps to Apply Bulk Edit

  1. Select the products you want to update (manually or using filters).
  2. Choose the price type (Regular / Sale / Both).
  3. Select the adjustment method (Percentage or Fixed).
  4. Enter the value.
  5. Choose Increase or Decrease.
  6. Click Apply.

A Clear button is also available to reset the bulk edit fields before applying a new rule.

Why This Feature Is Useful

This bulk pricing system is extremely helpful when:

  • Running sales across multiple products
  • Increasing prices due to cost changes
  • Applying consistent discounts
  • Managing large catalogs efficiently

It eliminates repetitive manual work and ensures accurate, consistent pricing across your store.

Smart Pricing Rules (Advanced Feature)

Smart Pricing Rules is an advanced feature that enables automated, dynamic price adjustments across your WooCommerce store. It functions as an intelligent pricing engine that automatically identifies and updates product prices based on configurable conditions, eliminating the need for manual product selection or individual price updates.

Core Philosophy

Unlike traditional bulk editing tools that require you to:

  • Manually select products
  • Apply changes in batches
  • Repeat the process for different product groups

This feature is ideal for:

  • Automated price adjustments
  • Category-based pricing strategies
  • Stock-based pricing control
  • Store-wide or targeted price updates

How Smart Pricing Rules Work

A Smart Pricing Rule consists of three main parts:

  1. Apply To – Which price should be modified
  2. Target Products – Which products should be affected
  3. Action – How the price should change

Once configured, clicking Apply Rule will immediately apply the rule to all matching products.

Database Impact

  • Direct Updates: Rules modify prices directly in wp_postmeta table
  • Performance Optimized: Uses batch processing for large catalogs
  • Transaction Safety: Implements rollback mechanisms for failed updates
  • Logging: Creates audit trails of all price changes

1. Apply To (Price Type)

This option defines which price field will be updated.

Available options:

  • Regular Prices - Updates only the regular price of matching products.
  • Sale Prices - Updates only the sale price.
⚠️ Products that are not on sale will be skipped automatically.
  • Both Prices - Updates both regular and sale prices.
⚠️ Sale prices will only be updated for products already on sale.
price type

2. Target Products

This option defines which products the rule applies to.

a) Products in Category

Applies the rule to all products within a selected category.

Example:
• Category: Electronics
• Result: All products in Electronics category will be affected.

b) Products in Price Range

Targets products based on their current price range.

Input Format: min-max (Example: 50-100)

Example:
• Price Range: 50-100
• Result: Only products priced between 50 and 100 will be updated.

c) Products by Stock Level

Applies the rule based on available stock quantity.

Example:
• Stock Range: 0-10
• Result: Products with stock between 0 and 10 will be affected.
This is very useful for low-stock price adjustments.

d) Products by Type

Targets products based on WooCommerce product type.

Available product types:

  • Simple Products
  • Variable Products (each variation is handled individually)
  • Grouped Products
  • External / Affiliate Products

Example:
• Product Type: Variable Products
• Result: All variations of variable products will be affected.

e) All Products

Applies the rule to all products in the store, regardless of category, type, or stock.

⚠️ Use this option carefully.

target product

3. Action (Price Operation)

This defines how the price will be changed.

Increase by %

Increases price by a percentage.

Example:
• Price: 100
• Increase by: 20%
• Result: New price = 120

Decrease by %

Decreases price by a percentage.

Example:
• Price: 100
• Decrease by: 10%
• Result: New price = 90

Increase by Fixed Amount

Adds a fixed value to the price.

Example:
• Price: 50
• Increase by: 10
• Result: New price = 60

Decrease by Fixed Amount

Subtracts a fixed value from the price.

Example:
• Price: 50
• Decrease by: 5
• Result: New price = 45

Set to Specific Price

Sets the price to an exact value.

Example:
• Set price to: 75
• Result: All matching products will have price = 75

price operation

Applying the Rule

Steps to apply a Smart Pricing Rule:

  1. Select the price type (Regular / Sale / Both)
  2. Choose target products
  3. Select the target value (category, price range, stock range, etc.)
  4. Choose the action
  5. Enter the value
  6. Click Apply Rule

The rule is executed immediately.

Example Rule Scenarios

  • Increase Regular Prices by 15% for Electronics
  • Decrease Sale Prices by 10% for products on sale
  • Set Regular Price to 75 for products priced between 50–100
  • Increase Regular Prices by 20% when stock is below 10
  • Increase prices by 20% for all variable product variations
  • Increase prices by 20% for all products

Important Notes

  • Products with price = 0 will be skipped.
  • Sale price rules apply only to products already on sale.
  • Variable products are handled at variation level, not parent level.
  • Rules are applied instantly and affect all matching products.

Performance & Scalability

Optimization Features
  • Indexed Queries: Fast product matching
  • Batch Processing: 50 products per batch

Why Use Smart Pricing Rules?

Smart Pricing Rules eliminate repetitive manual work and allow store owners to:

  • Automate pricing strategies
  • React quickly to stock changes
  • Run category-wide promotions
  • Maintain consistent pricing across large catalogs

This makes it one of the most powerful features of Smart Price Manager.

Price History & Revert (Advanced Feature)

Price History & Revert is a powerful advanced feature that automatically tracks all price changes made in your store and allows you to revert them with a single click.

This feature helps you stay in full control of pricing by maintaining a clear audit trail of all changes—making it easy to undo mistakes, roll back temporary sales, or restore original prices after promotions end.

What This Feature Tracks

The Price History system automatically records price changes made through:

  • Bulk Edit Selected Products - Any price updates applied using bulk edit rules are tracked and stored in the database.
  • Smart Pricing Rules - All automated price changes applied via Smart Pricing Rules are logged.
  • CSV Import - When prices are updated via CSV import, the changes are tracked and can be reverted in one click.

Each entry is safely stored in the database for accurate recovery.

History Table Overview

The Price History table displays the latest 10 entries only for better performance and clarity.

Each entry shows:

  • Action – Type of price change (Bulk edit, rule-based change, CSV import, etc.)
  • Products Affected – Number of products impacted by the change
  • User – The admin user who applied the change
  • Time – When the change was made
  • Actions – Revert option for that specific change

Only the most recent 10 price change entries are shown at a time.

Available Actions

Refresh History

Click Refresh History to reload and update the table with the latest price change records from the database.

This is useful when multiple admins are managing prices or when recent changes are not immediately visible.

Delete All History

Click Delete All History to permanently remove all price history entries.

  • This action deletes the records from the database
  • Once deleted, the history cannot be recovered
  • Use this option carefully

Revert Prices

Each history entry includes a Revert button.

Clicking Revert will:

  • Restore the affected products to their previous prices
  • Apply the rollback safely and accurately
  • Prevent manual errors during restoration

This allows you to undo changes instantly without editing products individually.

Why This Feature Is Important

Price History & Revert is extremely helpful when:

  • A sale has ended and you want to restore original prices
  • Temporary pricing rules were applied and need to be undone
  • A CSV import updated prices incorrectly
  • Multiple admins are managing pricing and accountability is needed
  • You want a safe rollback option without manual effort

With one click, you can revert changes confidently without mistakes or data loss.

Key Benefits

  • Automatic price change tracking
  • One-click price rollback
  • Database-level history storage
  • Clear visibility of who made changes and when
  • Perfect for large catalogs and frequent price updates

Import & Export (Advanced Feature)

The Import & Export feature allows you to manage product prices in bulk using a CSV file. This is especially useful when you want to update prices offline or apply large-scale pricing changes efficiently.

⚙️ This is an advanced feature available with a license.

Export Prices

To export product prices:

  1. Click the Export to CSV button.
  2. The system will generate and download a CSV file containing your product pricing data.
  3. Open the file in Excel or any compatible spreadsheet editor.
  4. Update the prices as needed.

Important:
Only the CSV file generated by Smart Price Manager is supported for re-import.
The column structure, order, and headers must not be changed.

Import Prices

To import updated prices:

  1. Ensure you are using the same CSV file that was exported from the plugin.
  2. Make your price changes in that file.
  3. Save the file in .csv format.
  4. Click Import CSV.
  5. Upload the edited CSV file.
  6. Prices will be updated automatically based on the CSV data.

Important Rules & Validations

Please follow these rules carefully to avoid import errors:

  • Only .csv format is supported
❌ Excel (.xlsx) and PDF files are not allowed
  • Do not modify:
    • Column names
    • Column order
    • File structure
  • Any changes to the format may cause the import to fail.
  • Sale Price Handling:
    • If the sale price value is 0, 0.00, or left blank, the product will be treated as not on sale
    • This behavior prevents products from being unintentionally marked as on sale
  • Always export the CSV first, then edit it, and re-import the same file

Why This Is Important

This strict CSV validation ensures:

  • Accurate price updates
  • No accidental data corruption
  • Safe rollback support via Price History & Revert
  • Consistent and predictable imports

Best Practice

  • ✔ Always export the CSV before importing
  • ✔ Edit only the price values
  • ✔ Keep the file format unchanged
  • ✔ Use this feature for large-scale or offline price updates

📌 Important Note: Large Product Rule Processing

When you apply a pricing rule to a large number of products, the process may take some time.

In such cases, you may see the following notification:

"Rule is being applied in the background. You can continue working while it processes."

What this means

  • The rule is being processed in the background
  • You do not need to wait on the same screen
  • You can continue using the dashboard or perform other tasks
  • The rule will automatically finish applying once processing is complete

This behavior is intentional and helps prevent timeouts when handling large product sets.

⚠️ If You Face Errors During Rule Application

If you encounter errors while applying rules to many products, it is usually due to low server memory or execution time limits.

Common error reasons

  • PHP memory limit is too low
  • PHP max execution time is too short
  • Large product catalog (WooCommerce stores with many products)

🔧 How to Increase Memory Limit & Execution Time

You can increase these limits either from your server settings or directly from the wp-config.php file.

📍 File Path
/public_html/wp-config.php
(or your WordPress root directory)

Add the Following Code in wp-config.php

Open the wp-config.php file and add the following lines above this line:

/* That's all, stop editing! Happy publishing. */

Add before that line:

define( 'WP_MEMORY_LIMIT', '256M' );
define( 'WP_MAX_MEMORY_LIMIT', '256M' );
set_time_limit( 300 );

Recommended Values

  • Memory Limit: 256MB or higher
  • Execution Time: 300 seconds (5 minutes)

⚠️ If your hosting provider restricts these values, you may need to contact their support team to increase them.

❓ FAQs – Rule Processing & Performance

1. How are Simple and Variable products displayed in the Price Spreadsheet?

Answer:

  • Simple products are displayed in a single row, showing their regular and sale prices directly.
  • Variable products are displayed with each variation listed as a separate row.

This approach allows you to:

  • Update each variation's price individually
  • Apply rules or bulk actions accurately
  • Avoid incorrect pricing at the parent product level

This design ensures precise control over variation pricing.

2. Why do I need to click "Load Products" after applying filters?

Answer:

Filters (category, product type, price range, search, etc.) are applied only when you click Load Products.

This prevents unnecessary database queries and improves performance, especially for large stores.

3. Why are some products skipped when applying a rule?

Answer:

A product may be skipped due to the following rules:

  • Products with price = 0 are skipped
  • Sale price rules are skipped if the product is not already on sale
  • When applying Both Prices, sale prices update only for products that already have a sale price

These safeguards prevent unintended price changes.

4. What happens if I apply a rule to a large number of products?

Answer:

If the rule affects many products, it will run in the background.

You'll see this message:

"Rule is being applied in the background. You can continue working while it processes."

You can safely:

  • Continue using the dashboard
  • Navigate to other admin pages
  • Apply other actions

The rule will finish automatically.

5. Can I close the browser while a rule is applying?

Answer:

Yes. Once the background process starts, you do not need to keep the page open.

The rule will continue processing on the server.

6. Why am I seeing an error while applying rules?

Answer:

Most errors occur due to server limitations, such as:

  • Low PHP memory limit
  • Short PHP execution time
  • Very large product catalogs
7. How can I fix memory or execution time errors?

Answer:

Increase memory and execution time by editing:

File path:
/public_html/wp-config.php

Add this above

/* That's all, stop editing! Happy publishing. */
define( 'WP_MEMORY_LIMIT', '256M' );
define( 'WP_MAX_MEMORY_LIMIT', '256M' );
set_time_limit( 300 );

If your host restricts these values, contact hosting support.

8. Why are CSV Import & Export buttons inactive?

Answer:

CSV Import & Export is an advanced feature that requires a valid license to activate.

Once a license is purchased and activated, these buttons become fully functional, allowing you to:

  • Export prices to CSV
  • Edit prices in Excel
  • Import changes back safely

You can purchase a license from the official store.

9. Which CSV format is supported for import?

Answer:

Only the CSV file exported from Smart Price Manager is supported.

Important rules:

  • Do not change column names
  • Do not add/remove columns
  • Only modify price values

Other formats (Excel, PDF, etc.) are not supported.

10. What happens if the sale price is 0 or blank in the CSV?

Answer:

If the sale price is:

  • 0
  • 00
  • Empty

It will be treated as not on sale, and the product will not be marked as a sale product.

This prevents accidental sale activation.

11. Can I undo or revert price changes?

Answer:

Yes, with the advanced license.

The Price History section allows you to:

  • View recent changes
  • See affected products
  • Identify who made the change
  • Revert changes with a single click
12. Why do only the latest 10 history entries appear?

Answer:

To maintain performance and clarity, only the latest 10 entries are shown by default. All history is stored in the database, and you can manage it using the available tools.

13. What does "Both Prices" mean in Bulk Edit and Rules?

Answer:

"Both Prices" applies changes to:

  • Regular price
  • Sale price (only if the product is already on sale)

Products without a sale price will not receive a new sale price automatically.

14. Are Smart Pricing Rules available in the base version?

Answer:

Smart Pricing Rules are part of the advanced feature set. They are available after activating a valid license. These rules allow for complex, automated pricing based on categories, stock levels, and more.

15. Is Smart Price Manager safe for large WooCommerce stores?

Answer:

Yes. The plugin is built to:

  • Process rules in the background
  • Avoid server timeouts
  • Prevent accidental price overrides
  • Scale with large catalogs

It is actively maintained, regularly updated, and follows WordPress & WooCommerce best practices.

16. Where can I get help if I'm stuck?

Answer:

  • Check the official documentation
  • Review in-plugin tooltips and notices
  • License holders receive priority support
  • License details are available in My Account → License
17. Why is my rule taking so long to apply?

Answer:

If the rule is applied to a large number of products, the system processes it in the background to avoid timeouts. This is normal behavior.

18. Can I close the page while the rule is applying?

Answer:

Yes. Once the background process starts, you can safely navigate away or continue working. The rule will continue processing automatically.

19. What does the "Rule is being applied in the background" message mean?

Answer:

It means the system is processing the rule asynchronously. This prevents performance issues and allows you to keep using the admin panel.

20. My rule failed with an error. What should I do?

Answer:

Increase your PHP memory limit and execution time. Most errors during large rule application are caused by server limitations.

21. Where can I increase memory and execution time?

Answer:

You can:

  • Edit the wp-config.php file (recommended)
  • Increase limits from your server / hosting control panel
  • Contact your hosting provider for assistance
22. Will increasing memory affect my website performance?

Answer:

No. Increasing memory limits helps prevent failures during heavy operations and does not negatively impact normal site performance.

23. Is background processing available for all rule types?

Answer:

Background processing is optimized for handling large product sets and is a standard part of the advanced rule engine, ensuring a smooth experience even with extensive catalogs.
